Introduction
KingFisher Pool (“we”, “us”) operates this website and the pool & spa opening and closing agreement forms. This policy explains how we collect, use, and protect your information when you use our site—including analytics, our PDF procedure, and use of browser storage and cookies.
Information We Collect
When you submit an Opening or Closing agreement form, we collect the information you enter, such as:
- Name, address, city, state, zip
- Phone number and email
- Pool type, requested dates, and service selections
- Notes, payment preference (pay by link or call), and your initials and signature date
We use this only to generate your agreement PDF, send you (and us) the document, and fulfill the requested service.
PDF Procedure and What Is Saved
When you submit a form:
- Generation: We create a PDF agreement from the data you submitted.
- Storage: The PDF is stored in secure cloud storage (Cloudflare R2) so we can provide time-limited download links. Stored metadata includes your name, email (if provided), and file creation/expiry times.
- Download links: You receive a link to download your PDF. This link is valid for 7 days. We also retain an internal link to the same file for up to 30 days for our records.
- Email: If email is configured, we send a copy of the agreement (or a download link) to you and to us for processing.
- Deletion: After the retention period, the PDF and its metadata are removed from storage. We may run automated cleanup to delete expired files.
We do not use your PDF or form data for marketing or share it with third parties except as needed to provide the service (e.g., email delivery, cloud storage).
Analytics
We may use one or both of the following to understand how the site is used (e.g. page views, traffic). Scripts load only when the corresponding service is configured.
- Cloudflare Web Analytics: We use Cloudflare Web Analytics for basic, privacy-friendly traffic statistics. It does not use cookies and does not track you across other sites. Data is processed by Cloudflare and visible to us in the Cloudflare dashboard. No consent banner is required for this service.
- Google Analytics 4 (optional): If we enable Google Analytics 4, it collects usage data (e.g. page views) and is subject to Google’s privacy policy. GA4 may use cookies and similar technologies. Depending on your region (e.g. EU/UK), laws such as GDPR may require consent before loading GA4; we do not currently operate a consent banner, so if we use GA4 we rely on our legitimate interest or your continued use. You can limit tracking via your browser settings or Google’s tools (e.g. opt-out add-on, Google account settings).
We use analytics only to improve the site and understand usage. We do not sell analytics data to third parties.
Cookies and Form Functionality
We use the following in your browser to support form functionality:
- Cloudflare Turnstile: Our forms use Cloudflare Turnstile to help prevent spam and bots. Turnstile may set cookies or use local storage in accordance with Cloudflare’s privacy policy. We do not use these for tracking or advertising.
- Local storage (form drafts): To let you finish the form later, we save a draft of your answers in your browser’s local storage (not in a cookie). Drafts are stored under the keys
openingFormDraft_v1andclosingFormDraft_v1. We only save non-sensitive fields (e.g. contact and service choices); we do not save your initials, payment method, or verification tokens. Drafts are treated as temporary and are cleared when you submit the form or after about 24 hours. You can clear them at any time by clearing your browser’s local storage for this site.
We do not use cookies or local storage for advertising or cross-site tracking (aside from any cookies set by optional third-party analytics such as GA4, as described above).
Retention Summary
- PDFs: Available to you for 7 days via your link; we may keep an internal link for up to 30 days, after which the file is deleted.
- Form drafts (local storage): Stored only in your browser for about 24 hours or until you submit the form.
- Analytics: Cloudflare Web Analytics data is retained according to Cloudflare’s policy. Google Analytics 4 data (if enabled) is retained according to Google’s policy and your property settings.
Security
Form submissions are sent over HTTPS. We use rate limiting and bot protection (Turnstile) on our forms. PDF download links are signed and time-limited. We do not store payment card details; payment is handled via a separate link or phone call as you choose.
Your Rights and Contact
You may ask us about the data we hold or request deletion of your agreement before the end of its retention period. Contact us by phone or text at 815-450-9233 or through the contact options on this site.
Changes to This Policy
We may update this privacy policy from time to time. The “Last updated” date at the top will be revised when we do. Continued use of our forms after changes constitutes acceptance of the updated policy.
